Two UANs? How to Merge Them, Fix Overlapping Dates, and Avoid the Background Verification Trap
You changed jobs, and somewhere along the way a second UAN appeared. Now your PF is split across two accounts, your withdrawal or transfer keeps failing, Aadhaar will only link to one of them — and if the two records show overlapping employment dates, your next background verification could flag you for "dual employment" you never intended. Two UANs is one of those problems that's trivial if handled early and genuinely messy if ignored. Here's the complete fix.
How you ended up with two UANs (it's usually not your fault)
The UAN was designed to be one-per-person for life. A second one gets created when:
- You didn't give your new employer your existing UAN when joining, so they generated a fresh one — the most common cause, and often it happens because the joining form was filled hastily or HR never asked.
- Your old employer marked your date of exit late (or never), so when the new employer tried to link your UAN, the system saw you as still employed elsewhere and a new UAN got generated instead.
- Details mismatched — a name spelling or DOB difference between what the new employer submitted and your existing UAN record prevented linking.
First, confirm the situation: check your UAN portal service history, old payslips (UAN is usually printed on them), and SMSes from EPFO. You can also verify which UAN your Aadhaar is linked to — Aadhaar can seed to only one UAN, which is exactly why the second account jams everything.
Why you shouldn't just abandon the old account
People sometimes shrug — "the old UAN only has a year's balance, I'll deal with it someday." Three reasons not to:
- Your service history splits. The 5-year continuous service count (which decides whether your eventual withdrawal is tax-free) and your EPS pensionable service both depend on a connected record. - Claims bounce. Overlapping or duplicate records are a standard rejection reason — decoded in our PF claim rejection guide.
- The background-verification trap. Employers' verification agencies increasingly pull UAN-based employment history. Two UANs with overlapping dates — even by a few days of notice-period overlap, even from pure paperwork error — can read as "dual employment" or moonlighting, and candidates have faced offer withdrawals over exactly this. Cleaning the record before your next job search is far easier than explaining it during one.
The fix: merge by transferring, then let the old UAN die
There's no button labelled "merge UANs." The merge happens as a side effect of moving the money:
- Step 1 — Make sure your current (new) UAN is fully set up: activated, Aadhaar/PAN/bank KYC verified, and mobile linked. The transfer lands here, so this record must be clean first.
- Step 2 — Get the old account's date of exit marked. Transfers out of the old account need an exit date on it. If it's blank, mark it yourself via Manage → Mark Exit (our date-of-exit guide covers the two-month rule and the wrinkles).
- Step 3 — File the transfer claim: log in with your current UAN → Online Services → One Member – One EPF Account (Transfer Request) → select the old member ID as the source → choose attestation via your present employer (usual route) → verify with Aadhaar OTP → submit. Your current employer approves it digitally, then EPFO processes.
- Step 4 — The old UAN gets deactivated. Once the balance moves, EPFO's de-duplication identifies the old UAN and deactivates it, with the old service record folded into the surviving UAN. You'll typically see the transferred amount and the old service period appear in your current passbook and service history. Timelines vary — a few weeks is normal; slower if the old employer's records are messy.
If the transfer route is blocked — say the old UAN has a name mismatch that prevents any claim, or the old employer is defunct and records are broken — report the duplicate directly: raise an EPFiGMS grievance from your current UAN stating you hold two UANs (give both numbers), attach ID proof and both service details, and request deactivation of the old one with record merger. The older email-based reporting route exists too, but the grievance portal gives you a trackable number.
The overlapping-dates problem, specifically
If your two records show overlapping employment — old employer marked your exit as month-end while the new one marked joining mid-month, or notice period buyout created a genuine few-day overlap — fix the dates, not just the accounts. Wrong exit date on the old record: correction via joint declaration with that employer (or documentary proof to the Regional PF Office if they're unreachable). A cleanly sequenced service history is what background verification needs to see; two merged accounts with a lingering overlap can still raise the flag. And if the overlap was real because you actually held two jobs simultaneously — be aware this is exactly what UAN-based verification exposes, and no amount of account-merging hides it; better to have an honest explanation ready.
Prevention (for your next switch)
- Always give your existing UAN on the new employer's joining forms — it's the one field that prevents this whole article.
- Before your last working day, confirm the old employer will mark your exit promptly; calendar a check of your service history a month after leaving.
- Transfer, don't withdraw, when changing jobs — it preserves continuous service for the 5-year tax rule and keeps one lifelong record.
The 60-second version
Two UANs happen when a new employer generates a fresh one instead of linking yours. Don't ignore it — split records break the 5-year tax count, bounce claims, and can flag you as dual-employed in background checks. Fix: clean KYC on the current UAN → mark exit on the old account → file One Member–One EPF Account transfer from the current UAN → old UAN deactivates after the money moves. Blocked?
